1. Who we are

This website is operated by Proofterior Group Limited (“Proofterior”, “we”, “us”), a damp, mould and timber specialist contractor and surveyor serving Dorset, Hampshire and Wiltshire. We are the data controller for the personal information described in this policy.

Proofterior Group Limited is a company registered in England and Wales (company number 15421943). Our registered office is 70 Seabourne Road, Bournemouth BH5 2HT, and our head office is 23 Hinton Road, Bournemouth, Dorset BH1 2EF.

2. The information we collect

We only collect the information we need to respond to you and to carry out surveys and works. This may include:

  • your name, telephone number, email address and property address or postcode;
  • details you give us about your property and the problem you are experiencing (for example damp, mould, timber or drainage issues);
  • photographs, moisture readings and notes taken during a survey, and the report and quotation we prepare for you;
  • records of our calls, emails and messages with you, and your preferences about how we contact you;
  • if you become a customer, the details needed to schedule works, issue invoices and administer your guarantee;
  • basic technical information your browser sends when you visit the website, such as device type and pages viewed.

We do not ask for, and do not need, special category data (such as health information) through this website.

3. How we use your information and our lawful basis

Under UK data protection law (the UK GDPR and the Data Protection Act 2018) we rely on the following lawful bases:

  • Taking steps at your request before a contract, and performing a contract — to reply to your enquiry, arrange and carry out your survey, prepare your report and quotation, complete works and honour guarantees.
  • Legitimate interests — to follow up on an enquiry or quotation you have requested, keep accurate records, improve our service and protect our business. We balance these interests against your rights, and you can object at any time.
  • Legal obligation — to keep financial and tax records and to meet health, safety and waste regulations.
  • Consent — where we ask for it, for example to send you occasional news or offers. You can withdraw consent at any time by replying “stop”, unsubscribing or contacting us.

We never sell your personal information.

4. Who we share it with

We share personal information only where necessary, and only with organisations that are required to keep it secure:

  • the secure customer management and communication systems we use to record enquiries and send appointment confirmations and messages;
  • website hosting and IT service providers;
  • our finance partner, but only if you choose to apply for finance, in which case their own privacy notice will also apply;
  • accountants, insurers, guarantee providers and professional advisers where needed;
  • regulators, law enforcement or other authorities where the law requires it.

Some of our service providers may store data outside the UK. Where this happens we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Addendum.

5. How long we keep it

We keep personal information only for as long as we need it:

  • enquiries that do not proceed are normally deleted within 24 months of our last contact;
  • survey reports, quotations and job records are kept for as long as your guarantee is valid, plus a reasonable period afterwards to deal with any claims;
  • financial records are kept for six years, as required by law.

6. Cookies and embedded content

Our website uses a small amount of essential storage to work properly and remember your cookie choice. With your permission, we also use:

  • Analytics cookies (Google Analytics) — to understand which pages are visited and how our website is used, so we can improve it.
